Minutes of Annual General Meeting held at

Introduction and Approval of Change:
The
Convenor outlined the proposed the change to the timing of the
AGM. Approved: Sheila Hanna. Seconded: Patricia Hannah. The
changes will mean a streamlining of meetings and the calendar
should be as follows:

Approval of Minute of October 2001:
The
minutes were approved by John Hanney and seconded by Robert
Hanna.
4.
Matters Arising:
A)
Historical Paper:
Miss Margaret Hudson
sent thanks for the publishing of this item in the newsletter
and David Hannah said he would look into following up the
Hannahs of Hannahfield story.
B)
Overseas Branch:
Discussion took place regarding the difference between the
arrangements for Annual & Life fees within the arrangement for
Overseas Branches. The Convenor gave a précis of events leading
up to the proposals for Overseas Branches. Gen. J Hanna
suggested that this item should be tabled for clarification and
this was agreed. DR Hannay thanked Gen. J Hanna on behalf of the
Society for the hard work he has put into this development.

6.
Membership Secretary’s Report:
Evelyn
intimated the deaths of two members to the meeting. Firstly
Robert Hannay Montgomery from Belfast (8L) and Miss Lily Hanna
of West Sussex who had attended the Millennium Gathering in
Ireland. Since the last AGM there have been 13 new members – USA
3life and 4 annual, England 3 annual, Scotland 1 annual,
Australia 1 life and 1 annual – total of 4 life and 9 annual
members. Evelyn was asked about membership cards for Overseas
and it was agreed that when a Treasurer sends list of names and
fees he should be sent forms and cards for those members.
7.
Secretary’s Report:
The
secretary has only had to attend two meetings since the last
AGM. There have been no further items for archive and most
E-mail queries have been passed on to Evelyn, Jamie or Frank.
8.
Treasurer’s Report:
Provided.
The Financial Year
ends on 31st August so balances to be submitted in
August. From the year 2003 the financial year will end on 31st
March and, therefore, next year's accounts will be for seven
months only. Gathering in May.

Fife Branch PilotReport:

10.
Internet Report:
Provided. Re-imbursement of funds will be made to Frank for
hosting and purchase of names also hosts charges but there is
some doubt about the best way to make payment to him. The Clan
is looking into the possibility of setting up American and
Canadian accounts to facilitate this type of payment. Thanks
were given to Frank and Jamie for their continuing work in this
area.

AOCB:
1.
Thanks was given to
David R Hannay, Janet R Hannay Evelyn McArthur and Douglas
Hannah for their excellent organisation of the weekend.
Appreciation was also shown to Joe McArthur for once again hand
writing the name labels for the occasion
2. Fred Hanna of Austin, Texas
has presented a book on Clan tartans.
3. David R Hannay has been in
touch with Betty (widow of Alex) who has the Title Deeds of
Sorbie Tower.
4. An article has appeared in
The Galloway Gazette describing the “success Story” of the
application for funding of work on the Tower.
5. The meeting sent best
wishes to Ramsay and a card was circulated for signing to be
sent to him.
